1. Enrolment and Eligibility
1.1 Enrolment is open to students in Kindergarten through Year 12. Students must be enrolled by a parent or legal guardian ("You" or "Parent").
1.2 By completing this enrolment form, you enter into a binding agreement with MRT Robotics Pty Ltd ("MRT", "we", "us") on behalf of the enrolled student.
1.3 You confirm that all information provided is true, complete and current, and you agree to promptly update us if any details change.
2. Classes and Scheduling
2.1 Classes are held at the enrolled centre on designated days and times as communicated at enrolment. MRT reserves the right to adjust scheduling with reasonable notice.
2.2 Class sizes may be limited. MRT may place students on a waitlist if a class is full.
2.3 MRT may cancel a class due to public holidays, staff unavailability or insufficient enrolments. In such cases, credits or alternative arrangements will be communicated via email.
3. Fees and Payment
3.1 Fees are payable in advance as per the selected payment plan (weekly, term or annual). All prices include GST where applicable.
3.2 Payment is processed via our secure online payment platform (Stripe). By enrolling, you authorise recurring charges as per your chosen plan.
3.3 Overdue fees may result in suspension of access to classes and online learning resources until payment is received.
4. Attendance
4.1 Regular attendance is expected. Parents should notify the centre of any planned or unexpected absences as early as possible.
4.2 Fees are not reduced or refunded for missed classes. However, students may access online Mathematics and Coding courses for the relevant week from home as a substitute (refer to Makeup/Missed Class Policy).
5. Intellectual Property
5.1 All course materials, curricula, software, online content and learning platforms provided by MRT remain the intellectual property of MRT Robotics Pty Ltd.
5.2 Materials may not be reproduced, distributed or shared outside the enrolled student's household without written permission.
6. Changes to Terms
6.1 MRT may update these Terms from time to time. We will provide at least 14 days' written notice of material changes via email. Continued enrolment after the notice period constitutes acceptance of the updated Terms.
7. Governing Law
7.1 These Terms are governed by the laws of New South Wales, Australia. Nothing in these Terms excludes, restricts or modifies any consumer rights under the Australian Consumer Law (Schedule 2 of the Competition and Consumer Act 2010 (Cth)).

1. Withdrawal by Parent/Guardian
1.1 You may withdraw your child from any enrolled course at any time by providing at least 14 days' written notice to your Centre Manager or via email to your centre's designated email address.
1.2 The notice period begins on the date the written notice is received (not the date it is sent). During the notice period, the student may continue attending classes.
2. Fees During Notice Period
2.1 Standard fees remain payable during the 14-day notice period.
2.2 If less than 14 days' notice is provided, fees equivalent to the remaining notice period may be charged.
2.3 No administrative or cancellation fee beyond the notice-period fees will be charged.
3. Refunds
3.1 Fees paid in advance beyond the notice period will be refunded within 14 business days to the original payment method.
3.2 Refunds for classes already attended or within the 14-day notice window are not available, except where required by the Australian Consumer Law.
4. Cancellation by MRT
4.1 MRT reserves the right to cancel a student's enrolment with 14 days' written notice for reasons including serious or repeated breaches of the Behaviour Policy, non-payment of fees, or safety concerns.
4.2 In cases of immediate safety concern, MRT may suspend attendance pending investigation without prior notice.
5. Cooling-Off Period
5.1 New enrolments have a 7-day cooling-off period from the date of enrolment. If you cancel within this period, a full refund of any fees paid (less the cost of classes already attended) will be provided.
6. Consumer Rights
6.1 Nothing in this policy limits your rights under the Australian Consumer Law (ACL). If our service fails to meet a consumer guarantee, you may be entitled to a remedy regardless of this policy.
Aligned with the NSW Child Safe Standards (Office of the Children's Guardian)
1. Our Commitment
1.1 MRT Robotics is committed to being a child-safe organisation. The safety, welfare and wellbeing of all students is our highest priority. We have zero tolerance for child abuse or neglect.
1.2 We implement the 10 NSW Child Safe Standards as outlined by the Office of the Children's Guardian (OCG).
2. Working with Children Checks
2.1 All MRT staff, tutors, volunteers and contractors who have direct contact with children hold a valid NSW Working with Children Check (WWCC) clearance, as required under the Child Protection (Working with Children) Act 2012 (NSW).
2.2 WWCC clearances are verified before any individual commences work and are monitored throughout the 5-year validity period.
3. Supervision Standards
3.1 Students are supervised at all times during classes. Classes are conducted in visible, open areas.
3.2 Staff are not permitted to be alone with a student in an enclosed, unobservable space.
3.3 Students must not leave the centre premises during class time without authorised parent/guardian collection.
4. Mandatory Reporting
4.1 Under the Children and Young Persons (Care and Protection) Act 1998 (NSW), MRT staff who have reasonable grounds to suspect a child is at risk of significant harm (ROSH) are legally required to make a report to the Department of Communities and Justice (DCJ).
4.2 All staff receive training in identifying and reporting child protection concerns using the Mandatory Reporter Guide (MRG).
5. Staff Code of Conduct
5.1 All staff adhere to a documented Code of Conduct that establishes clear boundaries for professional behaviour with children, including prohibitions on inappropriate physical contact, communication outside centre-approved platforms, and sharing personal social media with students.
6. Photography and Recording
6.1 Photography or video recording of students by staff will only occur with prior parental consent and for legitimate educational or promotional purposes. Images will be stored securely and not shared publicly without explicit consent.
7. Complaints and Reporting
7.1 Parents, students and staff may report child safety concerns to the Centre Manager or directly to MRT Headquarters. All reports are treated confidentially and investigated promptly.
7.2 In an emergency, call 000. For child protection concerns, contact the Child Protection Helpline: 132 111.
In accordance with the Privacy Act 1988 (Cth) and Australian Privacy Principles (APPs)
1. Information We Collect
We collect the following types of personal information:
- Student: name, date of birth, school, year level
- Parent/Guardian: name, email, phone number, address
- Emergency contact details
- Health and medical information (allergies, medical conditions, medication) — classified as "sensitive information" under the APPs
- Academic progress and assessment results
- Payment and billing information (processed securely via Stripe — not stored on our servers)
2. How We Collect Information
2.1 We collect information directly from you via this enrolment form, email communications, and through our online learning platform during your child's participation in courses.
3. Purpose of Collection
We collect, hold, use and disclose personal information for the following purposes:
- Administering student enrolment and class scheduling
- Providing educational services (Mathematics, Coding, Robotics)
- Communicating with parents about attendance, progress and administrative matters
- Processing payments and issuing invoices
- Responding to medical emergencies or safety incidents
- Meeting legal obligations (e.g. mandatory reporting, taxation)
4. Storage and Security
4.1 Personal information is stored on secure, encrypted servers hosted in Australia. Payment data is processed by Stripe and is not stored on our servers.
4.2 Access to personal information is restricted to authorised staff on a need-to-know basis.
5. Disclosure
5.1 We do not sell or rent personal information. We may disclose information to: (a) emergency services in a medical emergency; (b) government authorities as required by law (e.g. DCJ for mandatory reporting); (c) our payment processor (Stripe) for billing.
5.2 Some data may be processed by cloud service providers located outside Australia. Where this occurs, we ensure appropriate safeguards are in place as required by APP 8.
6. Access and Correction (APP 12 & 13)
6.1 You have the right to request access to or correction of personal information we hold about you or your child. Requests can be made to your Centre Manager or by emailing [email protected].
6.2 We will respond to access requests within 30 days.
7. Complaints
7.1 If you believe we have breached your privacy rights, please contact us at [email protected]. We will investigate and respond within 30 days.
7.2 If unsatisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au.
8. Data Retention and Disposal
8.1 We retain personal information for as long as it is needed to fulfil the purposes described above, and for a minimum period required by applicable law.
8.2 Student enrolment records, consent forms and signed agreements are retained for a minimum of 7 years after the student's enrolment ends, as required for record-keeping and potential legal obligations.
8.3 When personal information is no longer needed, it will be securely deleted or de-identified in accordance with APP 11 (security of personal information).
9. Automated Decision-Making
9.1 Our online learning platform uses automated systems to score practice exercises and assessments, generate progress reports, and recommend learning pathways for students.
9.2 These automated processes assist teachers and do not make decisions that significantly affect enrolment status, fees or access to services without human review.
9.3 You may request human review of any automated decision by contacting your Centre Manager.
10. Data Breach Notification
10.1 In the event of a data breach that is likely to result in serious harm to any individual whose personal information is involved, we will notify the affected individuals and the OAIC as soon as practicable, in accordance with Part IIIC of the Privacy Act 1988 (Notifiable Data Breaches scheme).
11. Children's Online Privacy
11.1 We recognise the particular importance of protecting the privacy of children. Our online learning platform collects only the minimum personal information necessary to provide educational services.
11.2 We will comply with any requirements under the Children's Online Privacy Code when it comes into effect under the Privacy and Other Legislation Amendment Act 2024 (Cth).
11.3 Parental/guardian consent is obtained before collecting personal information from students under 18 years of age.
Parent/Guardian Consent for Emergency Response
1. Medical Information Disclosure
1.1 You are required to disclose all known medical conditions, allergies (including food, insect or medication allergies), and regular medications at the time of enrolment.
1.2 If your child has a diagnosed anaphylaxis risk, asthma or other condition requiring an action plan, you must provide a current medical action plan signed by the treating doctor.
1.3 You agree to notify the centre promptly if medical information changes during the enrolment period.
2. First Aid Consent
2.1 By consenting, you authorise MRT staff to administer basic first aid to your child if needed, including the use of a first aid kit, cold packs, band-aids, and antiseptic.
2.2 At least one staff member trained in Senior First Aid (including CPR) will be present at each centre during operating hours.
3. Emergency Action
3.1 In the event of a medical emergency, MRT staff will:
- Call 000 for ambulance/emergency services if the situation is urgent
- Administer first aid within their level of training
- Contact the parent/guardian and emergency contact immediately
- Accompany the student to hospital if necessary and the parent has not yet arrived
3.2 You consent to emergency medical treatment being provided by qualified medical practitioners if MRT staff are unable to contact you and the situation requires immediate action.
4. Medication
4.1 MRT staff will not administer prescription medication unless a specific written authority and medical action plan are provided by the parent/guardian.
4.2 Self-administered medication (e.g. asthma inhalers for older students) must be disclosed to the centre and stored safely during class.
5. Incident Reporting
5.1 All first aid incidents and emergency responses will be documented in an Incident Report and a copy provided to the parent/guardian within 24 hours.
1. Drop-off
1.1 Students should arrive no more than 10 minutes before the scheduled class time. Supervision begins at the class start time.
1.2 Parents/guardians are responsible for the student until they are signed in at the centre reception.
2. Pickup
2.1 Students must be collected within 10 minutes of the class end time. Repeated late pickups may incur a late collection fee of $1 per minute after the 10-minute grace period.
2.2 Students will only be released to persons listed as authorised for pickup on the enrolment form. Photo identification may be requested from unfamiliar persons.
3. Changes to Authorised Persons
3.1 If someone not listed on the enrolment form needs to collect your child, you must notify the Centre Manager in advance (email or phone) with that person's name and a description or photo.
4. Independent Arrival/Departure
4.1 Students in Year 5 and above may arrive and depart independently if the parent/guardian provides written consent during enrolment (selecting "Walks/rides alone" as the arrival method).
4.2 MRT accepts no responsibility once a student departs the centre under an independent departure arrangement.
5. Unable to Contact
5.1 If a student has not been collected 30 minutes after class ends and we cannot reach the parent/guardian or emergency contact, MRT will contact NSW Police for guidance in accordance with our duty of care obligations.
1. Expected Behaviour
1.1 Students are expected to treat all staff, fellow students and centre property with respect.
1.2 Bullying, harassment, discrimination, violent or threatening behaviour will not be tolerated under any circumstances.
1.3 Students must follow instructions from MRT staff regarding class activities, safety procedures and centre rules.
2. Digital Device and Platform Use
2.1 Centre-provided devices and the MRT online learning platform must be used only for authorised educational activities during class.
2.2 Students must not access inappropriate websites, install unauthorised software, or attempt to bypass content filters on centre devices.
2.3 Personal mobile phones must be switched to silent and stored in bags during class time unless the teacher grants specific permission for an educational purpose.
2.4 Students must not record (audio, photo or video) other students or staff without explicit consent.
3. Centre Property
3.1 Students are responsible for the careful use of all centre equipment, including robots, laptops and educational materials. Deliberate damage may result in the parent/guardian being liable for repair or replacement costs.
4. Consequences
4.1 Minor incidents: verbal warning and parent notification.
4.2 Serious or repeated breaches may result in: (a) temporary suspension from classes; (b) a meeting with parents; (c) permanent cancellation of enrolment. MRT will follow a fair, documented process before any permanent exclusion.
1. Nature of Activities
1.1 MRT classes involve educational activities in Mathematics, Coding and Robotics. Robotics classes involve the use of electronic components, motors, small parts and hand tools appropriate for the student's age group.
2. Reasonable Care
2.1 MRT takes all reasonable steps to ensure the safety of students, including staff supervision, safety instructions, maintained equipment and appropriate class ratios.
3. Inherent Risks
3.1 Despite reasonable precautions, participation in educational activities carries inherent risks of minor injury (e.g. small cuts, bumps, eye strain from screen use). By enrolling, you acknowledge these inherent risks.
4. Limitation of Liability
4.1 To the maximum extent permitted by law, MRT's liability for loss, damage or injury arising from the student's participation in classes is limited to the total fees paid for the relevant term.
4.2 Nothing in this notice excludes or limits liability that cannot be excluded by law, including liability for personal injury caused by negligence, or any rights under the Australian Consumer Law.
5. Insurance
5.1 MRT holds Public Liability Insurance covering students while participating in classes at the centre.
1. No In-Person Makeup Classes
1.1 MRT does not offer in-person makeup classes for any missed sessions. This includes absences due to illness, family travel, public holidays or any other reason.
1.2 Fees are not reduced or refunded for individual missed classes, as your child's place in the class is reserved and our staffing and resources are committed regardless of attendance.
2. Online Home Learning Alternative
2.1 When a student misses a class, they may access that week's content through our online learning platform from home as a substitute:
- Mathematics: The corresponding week's Math course content and practice exercises are available online.
- Coding: The corresponding week's Coding course modules and projects are available online.
- Robotics: Due to the hands-on nature requiring physical robot kits, online alternatives for Robotics sessions are limited. However, theory components and coding exercises may be available.
2.2 Online content is accessible using the student's existing login credentials at elearning.mrtrobotics.com.
3. Extended Absence
3.1 If your child will be absent for more than 2 consecutive weeks, please discuss options with your Centre Manager. For extended absences (4+ weeks), please refer to the Cancellation and Withdrawal Policy.
4. Centre Cancellations
4.1 If MRT cancels a class (e.g. due to a public holiday, staff emergency or natural disaster), we will provide either a credit to the next billing cycle or access to supplementary online content for that week.
